The gold team review acts as a checklist for the bid against the client requirement. It is an in-depth review to confirm that our bid has everything it can to become a high quality and compliant submission. The Bid Team has produced a proforma to facilitate this review. The gold team review is the last in the series of reviews that need to be undertaken as part of the bid process.

At each stage of the bid process there should be a reassessment of the likelihood of winning the bid even at this late stage a final go/no-go decision should be made. There may have been considerable changes to the bid or to the company bidding as the bid progresses and these need to be considered.  The Bid Team has developed a series of gateway reviews that sign off the continued investment in the bid. After passing this gateway it is time to submit your bid and prepare for the bid presentation.

A bid production process helps us take a structured approach to the production of a winning bid. It offers us tools to organise each stage of the production process, so we can move our bid from the initial template check through to the final review stages.

The purpose of creating a bid production process is to validate and sign off our bid content. It will check whether our bid has been correctly formatted according to the tender instructions, including spellchecks and proofreading. It also helps us to choose graphics that are relevant to each section of our content and ensures that they hold accurate information.

The produce stage will help us to select the correct template for our bid. It will help us to check that our bid follows all formatting requirements stated in the tender documentation. If we are creating a paper submission then we must allocate sufficient time for our bid to be printed, bound and delivered. If we are using an online portal to submit our bid content, we must ensure that all information input to the portal adheres to all formatting rules stated by the tender for submission to the portal.

Including graphics in our bid content will help us to summarise data visually and quickly convey information in our bid. The graphics stage will assess all graphics to be used in our bid and their relevance to the bid content, analysing and agreeing on their style, layout and colour schemes. We must ensure that all graphics are professional in appearance, clear and easy to view and contain up-to-date information applicable to the section of the bid to which they are allocated.

By including stages in our bid production process where we can sign off our bid, we can review all bid content in detail and determine if the bid questions have been fully addressed. The commercial sign off examines all commercial aspects of the bid and checks that the content matches the price offered to the client. The financial sign off verifies that the price offered to the client reflects the bid content. It also assesses whether all costs are correct and tie up with the bid content. The price should reflect the value of the solution.

The gold team review acts as a checklist for the bid against the client requirement. The gold team addresses the more visual aspects of the bid, reviewing and assessing the correctness of the formatting, the binding and the font(s) used and applies the final polish to our bid.

The final gateway review acts as a checklist against the requirement. It is a decisive stage in our process, assessing and verifying whether there are any changes to the bid from a more visual position but also considering the price and commercial aspects.
